Who is responsible

What we collect and why

The enquiry form collects your name, email, organisation, country, engineering team size, management environment, optional fleet-size band and the use case you provide. We also keep your request reference, submission date, pricing estimate and records of the pilot’s progress.

We use this information to respond, assess pilot suitability, arrange an evaluation and discuss licensing. Supplying the requested details is voluntary, but we need the required fields to handle a request through the form. Do not submit passwords, customer records or identifiable endpoint logs.

Basis for processing

For enquiries made on behalf of an organisation, our legitimate interest is handling business enquiries and organising product evaluations, under Article 6(1)(f) GDPR. Where you are personally seeking a contract, processing necessary to take steps at your request is based on Article 6(1)(b). The form does not subscribe you to marketing. Eligibility and commercial decisions are reviewed by a person.

Where information is processed

Cloudflare provides website hosting, the enquiry database and Turnstile spam protection. The enquiry database is configured for the European Union jurisdiction. Cloudflare’s network and security services may process technical data internationally under its applicable data-processing terms and transfer safeguards. Replies and subsequent correspondence use our OVHcloud-hosted contact mailbox. Access to enquiry records is restricted to the studio’s authorised operator. We do not sell enquiry details.

Security and storage

Turnstile processes technical browser and network information to check that a submission is genuine. Our form service keeps short-lived, pseudonymous rate-limit records to prevent abuse; it does not store raw IP addresses in the enquiry database. Staff sign-in uses an essential secure session cookie.

We keep an enquiry while it is being handled or the pilot is running. Closed enquiries are reviewed for deletion after 12 months. Records needed for a subsequent agreement or a legal obligation may be retained separately for that purpose. The website uses no advertising or visitor analytics.

Your choices and rights

You may request access, correction, deletion or restriction of your personal information, and object to processing based on legitimate interests. Data portability may apply where the legal conditions are met. Email contact@blackpillarstudio.com with your request reference if available.

You may also complain to your local data protection authority, including Poland’s President of the Personal Data Protection Office (UODO). Your request is not subject to automated decision-making or profiling.
